Version 2.5 Release Notes

Release 2.5 contains many changes, enhancements and additions. Many of the changes are summarized below:
Ledger
Several enhancements have been added to the ledger:
Color coding added for readability
Column order has changed for ease of viewing
Discounts and taxes can be seen separately in the 'Statement' view
The 'Type' column has been widened for better viewing
Statement checkbox added to view ledger in statement order
Sort by any column. Single-click on heading. Return to default with second single-click. Shift + click allows multi-column sort. Example: Activity Date, then Product
Double-clicking on the tax or the discount in 'Statement' view opens the original Slip item
Changed the size of the display. The ledger will now open as large as the window allows.
Account tab
The order of the Payer balance and Person balance columns has been changed to be consistent with the ledger, statements and fee slips.
Reporting
The following are new reports in 2.5:
Daily Books by Activity Date. This report combines the following reports into a one-report summary: Daily Payments, Daily Charges by Activity Date, Adjustment detail ).
This report contains a column called 'Gross Fee.' This number is simply the charged fees plus taxes. It should be noted that this is the only report that contains this number, as it is an artificial number used in bookkeeping for accrual accounting.
The last page of this report contains a summary that totals: Charges, Payments, and Adjustments (discounts plus adjustments).
There is also a total at the end of the report which reflects Gross Fee Ð Disc/Adj Ð Payments
Activity Summary by Code. This report summarizes activity by CPT or internal code. This is useful for determining how many services or products were sold that have one code but varying descriptions. A primary example is frames. The code is v2020 for all frames, but the descriptions vary.
The following reports have been renamed in 2.5:
Overdue Patient Accounts is now called Account Aging Detail. There are two options for this report. Account Aging Detail I prints guarantor address and phone. Account Aging Detail II does not print guarantor address and phone.
The following reports have been enhanced in 2.5:
Statements: The statement engine has been rewritten. There are several layouts to select from.
Removed access restrictions. Accounting level access is no longer required.
The default criteria for Activity End date was changed to 'today.'
Dunning messages have been added. Customized dunning messages on Finance tab of Preferences.
Important: Payments from insurance now start with 'Payment fromÉ' These payments used to say 'Check' The check number field no longer prints on the statement
Inventory Frame by Manufacturer (and all other inventory reports) Internal criteria has been added to eliminate any inventory items that have a quantity of 0. These reports print only inventory items in stock.
Patient Registration: Gender and Marital Status has been added.
Fee Slip: Payments have been broken out by payment date on each Slip item. This is helpful for patients who use flex plans.
HCFA
The provider name has been added to box 33. This will not require the new HCFA report
Box 32 prints the facility from the Slip item. This will require the new HCFA report.
Dunning messages
The ability to add Custom Dunning messages has been added. These should be set on the Finance tab of the Preferences before using for the first time.
Rx
The patient Rx has been expanded to include more information for lab orders. Buttons have been added to copy information from the right eye to the left to save data entry time.
Employer field
The employer field on the Demographics tab of a patient record now allows free-formed text. This is a change from the previous lookup behavior. If a company exists in the Company table, the employer field will be filled in with that company. If it does not exist, there is no longer a requirement to create a company record first.
The same is true for the Service Facility field on the Insurance tab of the Slip item.
Preferences
General tab: A checkbox titled 'Ledger Statement' has been added. Select this box to set the default view of the ledger similar to the statement reports that do not end with 'by Slip.' Deselect this checkbox to set the default ledger view by Slip.
Finance tab: Late charge. Select this checkbox and enter an amount to assess a late charge that will be combined with finance charges during aging. Example: Late charge is 5.00. Finance charge is 1.72. A Finance charge Slip item is created for 6.72.
Finance tab: Dunning messages: several default dunning messages have been added. Important: Review these items and customize according to your practice before running statements the first time.
eCommerce
NEW - first release of 'WinxNet' Ð expanded eCommerce capabilities. Contact help desk to check for payer availability. Per claim charges will apply for expanded payer list.
Menus
Changes have been made to the File menu. Several tables have been added to this menu. This allows the user to access the tables from two areas Ð the Navigation palette or the File menu.
Bug fixes
Several bug fixes are also included in this release.
